One gallon of propane contains about 91,452 Btu and weighs about 4.24 pounds at 60°F. A 20-pound cylinder therefore holds roughly 4.7 gallons when filled to its approved working level.
Multiply total appliance Btu input by operating hours and average duty cycle, then divide by 91,452. A 190,000-Btu system running at 60% for eight hours may use about 10 gallons.
Choose tank capacity from calculated fuel use, not trailer size. A 20-pound cylinder holds about 4.7 gallons, a 40-pound cylinder about 9.4 gallons, and a 100-pound cylinder roughly 23.6 gallons.
A 20% reserve is a practical starting point for many one-day events. Increase it for multi-day festivals, cold weather, fryer-heavy menus, or remote locations.

There is no single propane permit for every U.S. farmers market or festival. Save permit pages, emails, inspection appointments, and event maps in the trailer’s operating file.
Begin the propane review seven to fourteen days before departure. This leaves time to replace parts, requalify a cylinder, schedule a pressure test, obtain a permit, or find a suitable refill station. Record each appliance’s Btu rating and operating hours. Compare the estimate with similar events because past results from the same menu often provide the best forecast. About 48 hours before leaving, refill approved containers and inspect mounts, regulators, hoses, piping, valves, and appliance connections. Test the equipment and confirm that the main shutoff is visible and easy to reach. Keep permits, test reports, insurance records, instructions, and emergency contacts in one folder with a digital backup. Follow the approved layout and wait for any required inspection. After service, turn off appliances, close the fuel supply, and check for odor, frost, impact damage, or loose components. Record the remaining fuel level to improve the next estimate.
Track propane as an operating cost rather than waiting until a tank feels light. Record starting fuel, service hours, menu, weather, customer volume, problems, and fuel remaining. After three to five similar events, records should reveal a useful consumption range. Unexpected increases may come from weather, longer preparation, new equipment, heavier fryer use, a leak, or an equipment fault. Create a one-page propane profile with appliance ratings, tank type, total capacity, normal daily use, reserve target, supplier contact, test dates, permit contact, and emergency shutdown steps. Review the profile with a qualified propane professional and the authority responsible for the event. Update it whenever the menu, equipment, tank capacity, supplier, trailer layout, or operating location changes. A reliable propane plan protects sales, reduces emergency refill trips, speeds up inspections, and gives staff clear instructions.
